Time to Get Multi Organized
Email Marketing in a Multi Organizational environment has been
presenting difficulties for many years. Prior to the Adaptive Mailer's
Multi Org component for Salesforce, businesses have been left to
develop their own solutions. These have included but are not limited to
dividing their corporate CRM into multiple Salesforce instances, one
for each Organization. Salesforce experts and Salesforce themselves will
tell you the right way to organize your corporate CRM data in a
multiple organizational environment is to use Salesforce roles.
The role hierarchy determines which roles have access to the data
owned by
other roles. The person in the top role has full access (view and edit)
to his
or her own data as well as the data of anyone lower in the hierarchy.
Two common
ways to set up a role hierarchy are by region or by product. Although a
role
hierarchy may look similar to an org chart, it usually has fewer layers
and the
people at the top are not necessarily those at the top of the org chart.
In the example to the right, data access
works like this:
- The Executive Staff roles have complete access (view, edit, and
report) to all data
in the organization.
- The regional directors (Western, Eastern, and International) have
access
(view and edit) to their data and to the data of the sales reps below
them. They
do not have access to each others' data.
- The users at the lowest level have access (view, edit, and report)
only to
their own data.
The issue has always been making the email
marketing product respect these roles. Well, now it does!
The Adaptive Mailer Multi-Org option lets you manage your marketing
in accordance with the Role/Hierarchy settings in Salesforce
automatically by adopting these settings.
All organizational information that is required for compliance now
can be associated in Salesforce to the appropriate role and will
automatically be used for compliance in the marketing emails for that
organization. There is no need to have to create different footers, opt
out pages, each time your create a new email.

Simply enter the company information for each organization unit into
the Org Unit tab and you are set.
